Assigning reviews to your team

Give one review or a whole selection an owner, see who has what, clear an assignment, and understand why assigning never moves a review out of the feed.

Assigning is how a review gets an owner. It answers "who is dealing with this one" without anyone having to say it in a chat window.

What you need: at least one other person on the location. Invitations that have not been accepted yet do not appear in the list.

Assign one review

  1. Find the review in the feed.
  2. Click the assign control on the card.
  3. Pick a name.

The card then carries that person's name, and a notice confirms that they own the review now and will see it in their queue.

Open the same menu again to hand it to somebody else. The person who currently owns it is marked in the list, so a mis-click cannot silently move the review sideways. Clear assignment at the bottom takes the owner off and leaves the review exactly where it was.

Assign a selection

  1. Tick the checkbox on each review you want, on the left of the card.
  2. The bulk bar appears along the bottom with the number selected.
  3. Choose Assign and pick a name.

The whole selection gets that owner in one go and the selection clears itself, so the next thing you tick starts from nothing. The bulk bar also carries Archive, and Clear drops the selection without doing anything to it.

Let a rule assign for you

A rule can hand reviews to a person as they arrive. A common one: every review at 1 or 2 stars goes to the store manager. Build it in Automation with the trigger Rating is at or below and the action Assign to a team member. See Rule actions in detail.

What the assignee sees

Assignment is a label on the review, not a private copy of it. Everyone with access to that source keeps seeing the review, and the card tells them who has it. The review does not disappear from anybody else's list.

Pick someone who can actually open it. Members can be limited to certain locations, and a review assigned to someone without access to its location is an owner who cannot reach it.

Assigning does not move a review

The tabs are about state, not ownership. Reviews holds what is still in play and Archive holds what you have finished with. Assigning changes none of that: a review you assign stays in the tab it was in until somebody archives it.

Removing a member from the location sends their assigned reviews back to unassigned rather than deleting them.

What this costs

Assigning, reassigning and clearing an assignment by hand are free. A rule that assigns for you spends 1 credit each time it does. See What uses your credits, under Billing.
