Build a client report

Pick the period, the sources and the sections, and get a one-document summary that reads like a result rather than a dashboard.

The report is the document you hand somebody who does not use the product. It is built on the same numbers as Insights, written in sentences, and it carries your brand rather than ours.

What you need: a period with data in it, and the report included in your plan. Open it from the report button at the top right of Insights, or go to the report screen directly.

Setting it up

The rail on the left changes the preview on the right as you go. What you see is the document, not a thumbnail of one, so nothing can look different once it is sent.

  1. Account or Client location is fixed to the location you are standing in. To report on a different client, switch location first.
  2. Social accounts starts on All accounts. Narrow it to one source when a client only cares about one.
  3. Period offers Last 7 days, Last 30 days and the current calendar month. The month option is clamped to the days we actually hold, so a report pulled on the 27th says 1 to 27 August rather than promising 4 days that have not happened.

The sections you can leave out

4 switches, all on by default:

  • Sentiment summary writes 3 sentences on how customers sounded, generated from the data rather than typed by anyone.
  • Response times gives the average wait, the best day, and how much went out without a person.
  • Top posts lists the 3 items that drew the most conversation.
  • Buying questions is a short note on the reviews that were people asking how to buy.

Everything else is always in the document: the header, The period at a glance with its 5 figures, How much came in, What we did with it and What we handled for you. Those are the spine of the report and there is no switch for them.

The figures at the top include Reviews handled, Answered automatically and Average wait for an answer. Each carries one line of plain English underneath saying what it means.

Suggested image Crop of the document itself: the brand letter mark and name, the Review management report title, the account and period line, and the five figures under The period at a glance.

Branding

The note at the bottom of the rail tells you which brand the document will carry, with a swatch of the accent color it will use. Where your own branding is set up, the report goes out under your app name in your accent color and our name appears nowhere on it. Where it is not, the note points you at the branding screen.

What the report deliberately leaves out

The reader is the person paying the invoice, not the person using the app. So the document never contains:

  • product vocabulary: no rule names, no agent names, no tab names;
  • your plan, your credits or anything you were charged;
  • per-person numbers. The team table on Insights stays on Insights;
  • anything from another location, however many you manage;
  • our name, whenever your own branding is in force.

Keeping a copy

Print or save as PDF prints the document exactly as previewed. That is the same button a client gets on their own copy, so a report can always be filed by whoever is holding it.
